Hospital Manager Responsibilities
The Hospital Manager will oversee all operations at the hospital. Maintain a healthy, safe, and cohesive work environment while also maintaining legal and ethical standards within the practice. He/she will lead by example and maintain a professional demeanor at all times. The Manager is responsible for the success of the hospital.
Recruiting, interviewing, hiring and termination of staff as required by hospital needs in a legal, ethical and compassionate maner. Creating and updating work schedule through online software. Oversight/tracking of employee benefits Conduct performance evaluations. Maintain secure employee records. Provide positive feedback, maintain positive morale. Provide discipline of staff if needed. Manage disputes between staff members. Optimize staffing regularly to accommodate fluctuating hospital needs. Ensure staff takes breaks/lunches as required by law. Optimize employee productivity. Implement and oversee all programs related to employee training including; employee development, safety, OSHA, biomedical, and radiation training as well as all related documentation.
Respond to client complaints. Maintain excellent client service reputation. Monitor and adjust financial transactions as needed. Plan and conduct all staff monthly meetings, or as needed meetings. Cover positions in the event of vacancies. Monitor production and AR totals for each veterinarian. Optimize veterinarian productivity. Create, adjust, and update procedures and protocols with veterinarians input as necessary to assure patient care, client needs, and efficiency. Oversee appointment scheduling to accommodate caseloads and ensure client needs are being met. Continually review and modify systems and procedures to ensure excellent service to clients.
Maintain competitive insurance policies on building, property and practice. Oversee and coordinate repair, improvements, and upkeep of the building, property, and equipment within the practice. Maintain clean, organized and modern aesthetic of facility. Maintain a facility that follows safety guidelines for OSHA, HRS, Worker's Compensation, Department of Regulations, Fire Department, and Security.
Meet with sales persons to keep up with clinics professional relationships and to be educated on available new products. Review and approve all inventory purchases. Maintain appropriate levels of "quantity on hand", "reorder level", and "reorder quantity" in the veterinary software. Oversee the maintenance of the controlled drug logs and CURES reporting in accordance with DEA regulations. Biannual controlled drug inventory report. Set protocols that support the best use of hospital supplies to minimize waste. Maintain and develop and implement protocols supporting paperless and other green practices throughout the hospital. Oversee the computer receiving process of drugs and supplies. Adjust prices for services and products to account for fluctuations in cost. Conduct annual price reviews and increases in practice software. Create new codes and update existing codes as needed in practice software. Price shopping.
Prepare Payroll. Supervise and delegate hospital cash deposits. Prepare Management Reports for owner as needed. Track and Measure income, doctor production, watch trends and troubleshoot concerns. Oversee and minimize bookkeeping costs, Work with bookkeeper to oversee AP/AR Consult with the practice CPA, assist in the preparation of the practice tax returns as needed. Assist in the preparation of all government reporting i.e. sales tax, personal property tax, gross receipts, etc. Review and minimize accounts receivable regularly. Communicate with clients regarding bounced checks. Manage online store: ensure appropriate markups.
