- Chief Administrative Officer (CAO)
Description
Reporting to the CEO, the Chief Administrative Officer (CAO) is responsible for the day-to-day operations of AVMA Administrative Services LLC (AVMA Trust). The CAO will oversee and streamline all internal operational functions, including the administration and oversight of carriers, TPAs and the sponsored insurance program, development and execution of its communications strategy, claims oversight, member experience, engagement and the modernization of its technology to facilitate accurate, timely, and insightful information for informed and educated decision-making. This position will be located in our Schaumburg, IL office.
The CAO will work closely with the CEO to implement strategic goals and ensure that the organization’s operations support its mission and long-term sustainability while supporting organizational growth.
Key Responsibilities:
Operational Leadership
- Lead the day-to-day operational activities of the organization, ensuring the effective execution of strategic initiatives and seamless delivery of the organization’s core programs including a successful integration and transition to a one broker platform.
- Develop, implement, and continuously improve operational policies and procedures to enhance efficiency and effectiveness.
- Partner with Head of Legal Services to ensure compliance with regulatory requirements and industry standards, particularly related to the insurance program.
- Lead initiatives to modernize, document, and optimize the business processes.
- Oversee the member experience and research to ensure best in class operations for the veterinary profession insured through the program offerings.
- Support the cultivation of relationships with external partners, stakeholders, and vendors to enhance program delivery and operational capacity.
- Lead, mentor, and develop a high-performance team focused on operational excellence.
- Foster a staffing culture of transparency, trust, and accountability.
- Oversee the administrative and finance functions.
- Manage external service vendor contracts.
- Project manage additional initiatives assigned by the CEO.
Insurance Program
- Oversee the staff and partners responsible for the administration of the sponsored insurance programs.
- Monitor and analyze program performance, working with outside experts to identify opportunities for improvements, cost efficiencies, and greater member penetration, engagement and satisfaction.
- Establish key metrics and monitor staff performance and development goals, assign accountabilities, set objectives, and establish priorities.
Member Experience/Marketing and Communication Strategy
- Work with marketing communications staff and outside consultants to develop, implement, and ensure the effectiveness of the Organization’s Marketing and Communication strategy.
- Oversee messaging and positioning of the brand across all channels, to ensure alignment with the organizational mission, strategic priorities, and board expectations.
- Enhance communications to foster a culture of transparency and collaboration.
- Manage outreach efforts to the broader community regarding sponsored insurance programs.
Finance and Accounting
- Provide oversight to Finance and Accounting team to ensure monthly, quarterly and annual financials.
- Oversee budget creation and monitoring including monthly and quarterly forecasts and variance analysis.
- Review and support efficient integration into one reporting structure.
- Establish and document best practice and benchmarking capabilities to ensure effective standard operating procedures with a target of an 8–10-day close period for monthly and quarterly reporting.
Veterinary Services
- Provide oversight to Veterinary Services including Trust Vets, Student Services and Stakeholder Relationships.
- Support creation of organizational playbooks, SOPs and other organizational documentation as needed to support organizational sustainability and growth.
Carrier Engagement
Manage oversight of carrier relationships to ensure quality products, service, industry focused features and engagements for the program.
This position offers a hybrid work environment with a mix of remote and in-office work. Travel is required up to 15% of the time.
Salary Estimate Base Range: $175,000 - $185,000. Compensation decisions take into account a wide range of factors, including but not limited to relevant experience, skills, certifications, geographic location, business needs, & organizational policies. Requirements
Qualifications:
- Accounting degree strongly preferred; advanced degree/CPA or professional licensure preferred.
- Life, Health and P&C licenses a plus
- Extensive knowledge of insurance programs and/or association sponsored programs
- Minimum of 15 years of experience managing business operations, with at least 10 years in a senior position.
- Proven experience overseeing and developing strong teams.
- Long-term project management planning and implementation.
- Experience in digital systems, management, and risk management associated with data security a plus.
- Demonstrated excellence in financial management, budgeting, forecasting, with a strong understanding of financial statements and key performance metrics.
