We are a small animal, 5-doctor General Practice with a core team of 22 employees and growing. We have been AAHA-accredited for over 25 years and we are proud of it! Our AAHA-accreditation echoes in every corner of our business. Our practice focuses on the whole patient as an individual and we believe in thorough client communication and education. We practice Fear Free methods throughout our hospital and many of our team members are Fear Free certified. We are looking for a Practice Manager who is kind, professional, adaptable and shows integrity. Someone who is resourceful, has a strong ability to problem solve and think on their feet, and who leads by example in their interactions with staff and clients. Our Practice Manager is the heart of our hospital and must show support, care and compassion for our team above all else.
Our Practice Manager will primarily focus on these key areas:
Laws & Ethics
HUMAN RESOURCES Our Practice Manager is responsible for directing and coordinating the Human Resource management activities of our organization, and is the main point of contact for HR-related concerns and questions.
Primary HR responsibilities include:
Recruit, interview and hire new employees
Manage personnel training and development programs (including safety training)
Establish work schedules for staff
Manage daily work assignments
Conduct staff meetings
Conduct employee performance reviews
Mediate internal disputes between staff and office personnel
Manage employee benefit programs
Maintain confidential employee records
Create, review, and update job descriptions/manuals
Manage staff continuing education and licensure/certification
LAW & ETHICS Our Practice Manager monitors the procedures and policies of the practice to determine whether events and processes comply with laws, regulations, or standards. This requires knowledge of state/provincial and federal laws, legal codes, government regulations, professional standards, and agency rules.
Some of the responsibilities within this include:
Understand and ensure compliance with appropriate regulatory agencies, including: monitoring hospital violations and dangerous situations; documenting and reporting accidents; filing appropriate reports.
Understand the ethical requirements of veterinary practice outlined by the AVMA and VHMA code of ethics, and ensure that staff fulfill their ethical responsibilities
Understand and ensure compliance with Employment/Labor Law
Understand and ensure compliance with the legal and ethical guidelines surrounding confidentiality of staff, clients, and patients
CLIENT RELATIONS Our Practice Manager will lead our client relation and client satisfaction aspects of our business. The PM will establish client communication protocols and facilitate client retention and satisfaction by doing the following:
Monitor client retention
Develop and manage new client programs
Handle client complaints
Obtain/report client feedback on service
Respond to client questions
Develop and manage client reminder system
Manage client education

COMMUNICATION Everyone learns and communicates differently, so it is crucial to be able to adapt to different learning and communication styles, successfully navigate those nuances and teach others to do so. Conflict management skills are also essential; whether it’s diffusing tensions between team members or cooling down a frustrated client.

Prior experience as an HR Coordinator or Generalist (or equivalent HR experience/certification)
Prior experience managing teams of 10 or more people
Prior experience as an Administrative or Executive Assistant (or equivalent experience)
Ability to communicate effectively with anyone
Ability to professionally resolve conflict
Must have empathy in spades
PREFERRED (in addition to required qualifications):
Prior experience as a Veterinary Practice Manager
Prior experience as an RVT or Veterinary Technician Assistant
CA PHR Certification
Knowledge of OSHA practices
Spanish and/or Mandarin language proficiency
