Under the direction and supervision of the practice owner(s), practice managers will make many or most of the day-to-day veterinary practice management decisions. These will include financial, budgeting, drug and supply inventory, marketing, personnel, and facility management decisions. Because of the complexity of these tasks, successful practice managers should have an education equal to a Bachelor’s degree or a minimum of 18 semester credits in management related subject material. The most successful practice managers also will have had several years of personnel and financial management experience in veterinary or related businesses. People filling this position must possess and exhibit maturity and a high level of integrity, have strong communication, organizational, and financial skills, and be eager and able to train and supervise the practice’s support staff.
Practice managers or hospital administrators should know how to perform all of the following duties and be able to teach delegate duties to staff members at this veterinary practice.
Develop and post a personal work schedule at the practice so that others will know when you are available. In addition to scheduled hours, provide home and mobile contact phone numbers and be available as additional duties and emergency circumstances demand.
Arrive for work punctually so as to set a good example for staff
Dress in manners that maintain a professional appearance.
Handle communications with staff, doctors, clients, other professionals (CPAs, lawyers), detail reps, and vendors in manners that demonstrate a professional demeanor.
Possess competent written and oral English communication skills
Serve as a practice ambassador at and away from the practice
Maintain an even, friendly demeanor. Perform job tasks efficiently without appearing rushed.
Handle the pressures and stresses that always develop in the course of managing a veterinary practice with poise and tact
Participate in the production and discussion of your personal employee performance appraisals
Follow OSHA standards. Know how and where to locate MSDS sheets quickly.
Maintain client and patient medical and business information in complete confidence
Maintain the practice’s financial and business information in complete confidence
Maintain constant vigilance regarding open doorways that could allow pets to escape from the facility.
Develop friendly professional relationships with clients?Use clients’ and patients’ names during conversations
Offer financial estimates to clients for services to be performed on patients as directed by doctors.
Teach other support staff how to handle this task with confidence and tact. Counsel clients on options.
Enlist doctors or veterinary technicians to answer any medical questions or questions requiring medical opinions beyond your expertise.
Review various legal consent forms with clients, explain them, answer any questions, and have clients sign forms. Check that clients’ signatures match signatures on records.
Advise clients of any significant changes in the practice’s policies or services since their last visits
Discuss and enforce practice policies regarding payments, credit, finance fees, and pet health insurance programs. Be able to assist with Care Credit™ applications.
Handle angry or grieving clients with a calm and reassuring manner. Be familiar with the grieving process. Always be sensitive to background chatter or conversations that could exacerbate the anxieties and grief clients experience during euthanasias or deaths of their pets.
Placate and/or compensate clients distressed by long waits, scheduling glitches, and other variations from suitable service.
Arrange for waiting room amenities such as current magazines, beverages, telephones, and television
Ensure that service reminders and thank you, welcome, condolence, and birthday cards are all sent in a timely manner
Possess sufficient skill with Microsoft Excel to develop spreadsheets for budgets, cash flow analyses, schedules, and analyses of potential capital investments
Program the practice management software to maintain and be able to search for, store, and print specialized lists from the practice’s database such as:
1.Patients that are overdue for services and/or refills of pharmaceutical products
2.Clients with due or overdue balances on their accounts
3.New patient/client list
4.Numbers of new clients per month
5.Average client transaction or invoice fees (ACTs)
6.Income production by doctor and groomer
7.Doctor’s average client transaction or invoice fees (Dr. ACTs)
